Privacy and data

Vectis Works makes software, data systems and shop-floor dashboards for manufacturers. Our office address is 100 Powell Place #1170, Nashville, TN 37204.

The policy applies to two things: the website at vectisworksautomation.com, and business email sent by Vectis Works. Wherever this page says "we", it means Vectis Works.

Want us to stop? Answer any of our emails with a note saying so. No special words are needed. If someone from Vectis Works phones you, telling them on the call counts too.

Requests are handled promptly, and in every case inside 10 business days. From then on, we hold you on a do-not-contact list by name and email address. That list keeps you off future emails, even when another source later hands us your details.

The people we get in touch with work at manufacturers, in roles tied to what we do: operations, plant management, engineering and IT, for example. A message to a work email address is the usual route. Occasionally it is a phone call, or a letter posted to a business address.

We only write when our work looks relevant to that company, and a request to stop ends it.

Here is what we may keep:

• You at work: your name, your title, the company you work for, your work email, a business phone number and a link to your professional profile, when we can find them.
• Your company: its name and website, its industry, how large it is, where it is located, and its business address.
• Public business activity: things made public for business reasons, like job ads, news stories and public posts.
• Deliverability results: whether a given email address can accept mail.
• Messages: what we have written to each other, plus our notes on those conversations.
• Visits to this site: no cookies are set here, and no analytics run. The company that hosts the site keeps ordinary technical logs, IP addresses and browser types among them, so it can serve the site and keep it safe. Google Fonts supplies the typeface, and so it receives your IP address.

Sensitive information is not something we gather: no health details, no financial account numbers, no government ID numbers.

• Public places online, for example company sites, news outlets, job boards and professional networking profiles.
• Companies that sell data about businesses and the people who work at them.
• You, directly: in your replies, in forms you submit and in conversations with us.

• Working out whether our services might fit your company.
• Getting in touch with you at work about them.
• Confirming that an email address works before sending anything to it.
• Replying when you write, and talking through or delivering our services if you ask.
• Keeping a record of everyone who asked us not to write again.
• Protecting our systems and complying with the law.

One thing we skip is open tracking: nothing in our emails reports back to us when you open one.

Selling or renting personal information is off the table, and so is handing it to other companies for their own marketing or for targeted ads. It reaches only these parties:

• Companies doing work for us, such as providers of email and mailboxes, email verification, business data, hosting and data storage. Their use of it is limited to delivering their services to us.
• Authorities or other parties, where a law demands it, or where it protects rights, property or safety.
• Whoever buys or succeeds our business, who then has to keep protecting it in line with this policy.

Business contact records stay while they help us contact businesses. Stale ones get deleted or brought up to date.

Client records are kept through the work itself and for whatever period legal and accounting duties demand. Do-not-contact entries last as long as Vectis Works still contacts businesses.

Access is restricted by need, and reasonable safeguards, both technical and organizational, are in place. Still, no security is perfect, and we make no promise that information is absolutely secure.

Ask us, and we will:

• tell you what we have on you, and its source;
• fix anything that is wrong;
• erase your information, apart from the note that you asked us not to write, because that note is what stops further emails.

Some state privacy laws, including California's, add rights of their own: to know, to correct, to delete, plus a right to say no if personal information is sold or shared. Vectis Works does neither of those last two. Whether or not you use these rights, you get the same treatment from us.

A request can arrive as a reply to one of our emails, as a message through the vectisworks.com contact form, or as a letter to the Nashville address. To check that a request is really yours, we may ask for the email address our message went to. We answer inside the time allowed by law. An authorized agent can also send the request for you.

Everything we offer and send is aimed at businesses. We never knowingly gather information about people younger than 18.

Vectis Works is a US business, and the businesses it contacts are in the US too. Your information is handled in the US and in any place our service providers work.

Any revision to this policy changes the effective date shown above.
